Job description

Main Activities

  • Develop, maintain, and strengthen relationship management (contract lifecycle management):

    • Lead negotiations on contractual issues with supplier

    • Lead financial negotiations in partnership with Procurement/Legal

    • Ensure the development of the supplier relationship and facilitate their onboarding

    • Act as a contractual intermediary between company employees and the existing supplier

    • ensuring timely evaluation of points of divergence, which are either accepted or negotiated

    • Monitor transactions (milestones, deliverables, invoicing, etc.)

    • Ensure the inclusion of SLA’s (standard and measurable) in contracts and their associated penalties

    • Guarantee necessary cooperation with the client’s internal departments

    • Manage contract termination (approval reports, etc.) and any potential transition

    • Conduct negotiations in case of contractual issues (e.g., audits)

    • Oversee the drafting of contract terms and monitor their implementation

  • Monitor contractual risk and financial management:

    • Develop best-practice strategies to identify supplier-related risks, implement management plans (to prevent risks), and contingency plans (to address risks that occur despite management plans)

    • Inform the risk and finance management department to coordinate contractual requirements

    • Collaborate with the finance department to meet global requirements in terms of financing and risks, such as revenue recognition, pricing and discount policies, etc.

    • Understand and participate in financial engineering and the evaluation of the economic impact of terms and term options

  • Take on contract management responsibilities:

    • Within the contracts team, manage contract documentation, including receiving and verifying all correspondence related to contracts, supplier contact sheets, contract amendments, status reports, and other documents concerning all projects

    • Develop, when necessary, guidelines on contractual matters for project managers or other operational staff, and complement them with training for new project managers and other employees on contract procedures

    • Develop and implement contract management and administration procedures in line with company policy, and apply applicable frameworks when required

    • Provide information on company policy when necessary

    • Ensure that company staff comply with established procedures and applicable legislation

    • Ensure that signed contracts are communicated to all relevant internal parties

    • Handle ongoing procedures and implement modifications to them

Job requirements

  • Master’s level or equivalent through experience

  • professional experience of 8–10 years

  • Strong communication and organizational skills, including with senior levels of the organization

  • Integrity and sense of responsibility

  • Experience in negotiating complex contracts

  • Solid general knowledge of IT (end-user computing, infrastructure, etc.)

  • Knowledge of contract models, financial models, budgeting, and risk management

  • Knowledge of relationship management

  • Knowledge of governance and financial procedures

  • Knowledge of legislation (public procurement)

  • Knowledge of outsourcing models and the related risk management

  • Knowledge of the organization’s structure, internal (work) procedures, and regulations

  • Knowledge of common and company-specific software

  • Integration period of 8 weeks

  • Proficiency in French, Dutch, and English (spoken and written)
