Job description

As Buyer, you are responsible for the purchases and distribution of end-user IT hardware (computers, accessories, smartphones, multifunction printers (MFPs)) and partial physical stock management.

Handles order requests and negotiations:

  • Receives and creates order requests in the purchasing tool (ordering system) + analyzes
  • Requests quotes, selects suppliers and negotiates the purchases of products or services, within its own competences in order to obtain the best possible conditions for the organization in terms of price, quality & delivery time
  • Carries out the administrative preparatory work for customer orders (grouping orders, requesting quotes, etc.) up to the actual purchase
  • Adapts framework contracts if necessary, e.g. renewal of models/items
  • Follows up open requests and resolves invoice disputes
  • Adjusts article codes in the system upon delivery and proceeds with picking
  • Handles the RMA (return of damaged or defective goods)
  • Handles the warranty for defective devices, contacts the supplier if the appropriate term applies, looks up the necessary information for this

Manages the stock levels of SNCB IT material

  • Checks which stock items need to be re-ordered and monitors stock trends in order to optimize stock utilization. Semi-annual inventory check.

Is responsible for purchasing management

  • Asks for and maintains information on suppliers and the goods/services to be purchased so that current, accurate information is always available for placing orders
  • Handles administrative processing
  • Follows up on purchase contracts and related renewals
  • Provides general administrative support to the department and advice on projects
  • Formulates proposals to improve purchasing procedures/processes
  • Monitors, under the supervision of Team Lead & Coordinator, a purchasing portfolio of 3-4 million euros

Follow up the delivery and distribution

  • Follows up on transport and delivery and resolves complaints with suppliers

Provides 1st line and ticket handling related to asset management:

  • Handles tickets and is responsible for the administration around hardware Ypto, customer and repairs.
  • Acts as 1st line contact regarding orders/deliveries from Ypto and customer (mail, phone).

Follows up on new trends in the context of IT office equipment, printers, MFPs and telephony, monitors the vendor market and recommends to supervisor for purchase

Is responsible for demand management.

  • Optimizes, together with colleagues, the existing flow of all purchases received.
  • Takes care of files in close cooperation with colleagues from Procurement SNCB team
  • Follows up all orders with regard to delivery time, quality and quantity
  • Solicits, for punctual orders, quotes selects suppliers and negotiates the purchases of supplies or services to obtain the best possible terms.

Job requirements

  • Level of knowledge Bachelor's degree or equivalent through experience
  • 1 to 3 years' relevant professional experience
  • Basic knowledge of SAP
  • Knowledge of governance and financial procedures
  • Knowledge of standard hardware and software
  • Good knowledge of Dutch, French and English
