Job description

The Business Request Fulfilment team includes diverse IT office equipment, mobile phone equipment and office software.


We are looking for a Software Asset Officer for this team.


Your main responsibilities in this position are:

• Administrative management of software requests:

  • handling requests from employees
  • planning deliveries and effective delivery of materials within Ypto
  • closing requests after software delivery;

• Ensuring the administration regarding requests and incidents;

• Providing local support at Ypto;

• Requesting tenders from various suppliers;

• Managing the Asset Database CMDB;

• Acting as a backup for the Buyers;

• Acting as a contact person for the end users and the transporters;

• Keeping the catalogue up-to-date.


Key Responsibilities:


  • Software Licensing Management:
    • Act as the primary contact for software license procurement, ensuring compliance with company policies and procedures.
    • Validate software licenses to maintain accurate records and prevent unauthorized usage.
  • Software Portfolio Optimization:
    • Proactively review and analyze the software portfolio to identify opportunities for optimization and cost savings.
    • Monitor software usage and spending trends to recommend strategies for asset optimization.
  • IT Asset Strategy Alignment:
    • Collaborate with IT management to align software asset strategies with the organization's overall strategic goals.
  • Reporting and Analysis:
    • Generate and present software asset reports and metrics to support IT management in decision-making.
    • Research industry best practices and benchmark our practices to identify areas for improvement.
  • Policy Development:
    • Assist in the development of policies and procedures to guide the organization towards achieving IT Asset Management goals.

Job requirements


Required Skills and Qualifications:


  • Technical Skills:
    • Strong analytical and problem-solving skills
    • Proficiency in O365
    • Experience with ITAM tools, preferably Snow License Manager and/or ServiceNow, ERP systems is preferred but not mandatory
    • Language: Dutch and/or French + English
  • Soft Skills:
    • Self-driven and adaptable
    • Excellent communication and collaboration skills
    • Ability to work effectively in a multinational team

Education and Experience:

  • 2+ years of hands-on experience in Software/Asset Management
  • ITAM Certification (or equivalent experience) is preferred but not mandatory
